Program Associate (Master of Science in Data Science)


The Program Associate provides comprehensive support to the MSDS program. S/He shall provide assistance in various program activities, particularly operations and classroom-related activities.

  • Graduate of education (with focus on STEM education), business administration, and management. Preferably with strong quantitative background.

Minimum Experience

  • At least 2 years of experience, preferably in program administration


  • Possesses excellent communication, presentation and computer skills
  • Preferably with experience as Program Assistant, or with experience working in the academe
  • Inclination to learn new technologies and technical equipment (highly tech-savvy)
  • Ability to work under a fast-paced and dynamic environment Experience in network building, marketing, and events management
  • Competency in MS Office packages and good technical proficiency in presentation applications

  • In charge of the day-to-day administration of the MSDS program with the Program Coordinator.
  • Coordinates with departments and faculty for all course requirements, course materials, schedule alignment, curriculum updates and all other information and materials needed in the program.
  • Assists faculty in the administration and implementation of the Assurance of Learning (AOL), such as recording, collecting and distributing information, materials (both offline and through the learning management system, ALICE), attendance, class participation, grades, evaluations, submissions and all other program-related requests.
  • In charge of the organization of MSDS classes, such as coordinating with departments involved in class operations (KRC, Audio and Visual, Food and Beverage, Building Administration, etc.), as well as collecting, ordering, reproducing and distributing course materials and requirements a day prior to the scheduled execution of the specific class, and performing other tasks required in the success of each class.
  • Prepares and submits end-of-week report to the Program Manager that will aid in determining the performance and compliance of students.
  • Disseminates deadline, announcements and information in a timely and effective manner.
  • Encodes faculty ACPs, and contributes to the faculty and evaluation report to the faculty and the Dean’s Office.
  • Prepares reminders, letters, certificates and all other student-related documents.
  • Escalates requests or cases to the Program Manager needing special attention.


  • Provides administrative assistance in program-related activities e.g. internal calendar of MSDS staff, minutes of the meetings, database of MSDS contacts, maintenance of the filing system, formatting of documents, replenishment of office supplies and MSDS marketing/dissemination materials in the office.
  • Handles arrangements for travel, reimbursement, payment for external stakeholders etc. of the program
  • Provides other logistical and organizational assistance to the Program Manager and the Program Coordinator in program academic events and activities.
  • Assists the Program Manager in the preparation for the AOL assessment including logistics of assessors’ schedule, processing of payments, compilation and deployment of AOL kits for assessment, and follow-up submission of assessments
  • Assists in organizing Capstone-related activities
  • Performs other related tasks as assigned by the Academic Program Director and/or the Program Manager.
