Development Admin Associate (Scientific Research Foundation, Inc.)

Job Summary/Description:  

The Development Admin Associate will play a crucial role in supporting the Development 

Office of the Foundation. This position involves a variety of administrative tasks related to 

fundraising activities, including donor relations, handling direct mail appeals, coordinating 

in-kind donations and assisting with special events. The Development Admin Associate will 

also be responsible for maintaining the donor database and providing support to the senior 

management of the Foundation.

Education: Bachelor's degree in communications, public relations, marketing, or any related course. 

Minimum experience: At least 1-3 years working experience, preferably with experience in office administration duties 

Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), strong organizational skills with exceptional attention to detail, excellent written and verbal communication skills, ability to manage multiple tasks and prioritize effectively, strong interpersonal skills and a professional demeanor. 

 

1. Maintain all donation and partnership files, including updating donor records, making 

donor record changes, providing giving history updates, generating donor queries, 

producing mailing data and labels, and generating information for donor reports as 

requested, ensuring accuracy and confidentiality of all donor information. 

2. Perform database maintenance and clean—up projects to improve data integrity, and 

maintain proper labeling and record-keeping of physical files of the Development 

Office. 

3. Provide clerical support to the Development Office—assist with scheduling of events 

and meetings, correspondence, phone call routing, ordering and monitoring of 

supplies, ICT and payment requests, and other administrative tasks as needed. 

4. Assist in organizing and executing fundraising and donor-related events, including 

logistics, invitations, and follow-ups. 

5. Assist in preparing and managing development-related documents, reports, and 

presentations to the Board, and in coordinating and providing support to face-to- 

face, virtual, or hybrid meetings of the Board. 

6. Process donor acknowledgements on a timely basis, including thank you letters, cards, 

follow up of receipts and certificates, and coordination of delivery of donor documents. 

7. Manage in-kind donations, including receipt and acknowledgment. 

8. Greet donors and visitors and assist in the collection of necessary information. 

9. Handle donor inquiries and provide excellent customer service to enhance donor 

relations. 

10. Assist in provision of documents requested by partners, donors, and other external 

clients of the Foundation. 

11.Support the Development Office in the implementation of fundraising campaigns and 

initiatives—assist in distributing public relations and prospect materials, coordinating, 

and supporting direct mail appeals and event mailings, etc. 

12. Assist with special projects, donor/scholar-related and research center activities, as 

assigned.
